Executive Assistant

The Position: 

CARDONE Industries is seeking a highly skilled Executive Assistant who is self-motivated with a passion for great service to support the Executive Vice President of Global Operations.  This individual will handle administrative tasks, calendar management, travel and expenses coordination, as well as department-specific data collection and analytics. 

Qualifications:

Experience: 5-8 years’ experience supporting an executive level individual  

Education: Associate’s Degree

Skills

  • Superior organizational skills with ability to multi-task
  • Excellent communication skills, both written and verbal
  • Must have superior MS Office skills specifically with Outlook, Word, Excel and PowerPoint
  • Must have experience supporting Executives
  • Experience with Concur is preferred

Responsibilities:

  • Manages EVP's calendar and independently schedules appointments
  • Screens incoming calls and correspondence and responds independently when possible
  • Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget
  • Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings
  • Acts as a custodian of corporate documents and records and maintains confidentiality
  • Directs preparation and filing of corporate legal documents with government agencies to conform with statutes
  • Composes and prepares confidential correspondence, reports, and other complex documents
  • Creates and maintains database and spreadsheet files
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested
  • Summarizes the content of incoming materials, specially gathered information, or meetings to assist executive; coordinates the new information with background office sources; draws attention to important parts of conflict
  • Locates and attaches related documents to correspondence which require the personal attention of the executive
  • Reads outgoing correspondence for executive approval
  • Anticipates ways in which executive time may be saved
  • Handles details of a confidential nature, and performs administrative functions based on understanding of company policy, executive's views and philosophy, which can be assumed by this level of executive assistant
  • May design policies and negotiate with vendors regarding travel
  • Limited travel may be required
  • Other duties as assigned
